The Reproductions service handles requests received by the library for the reproduction of manuscripts and both antique and modern printed materials for study or publishing purposes.
All requests are subject to authorisation by the library.

Reproductions

On-site reproduction with personal equipment: terms, conditions and rules

In compliance with current legislation (art. 108 of Legislative Decree 42/2004, as amended by art. 1, paragraph 5 of Law 124/2017), copies of the works held by the library may be made freely for personal use for study and research, and for non-profit activities. Legitimately acquired images of items of cultural heritage may also be freely circulated in any manner, in such a way as to not permit further reproduction for profit.

Free reproduction is carried out exclusively:

  • in compliance with current copyright legislation (Law no. 633 of 22 April 1941 as amended), limited to 15% of commercially available volumes or series of periodicals. Said limit may only be exceeded in the case of “rare works or works not available from publishing catalogues” with acceptance of the indications provided by the library, which is conditional to registration with the library.
  • with methods that do not involve any physical contact with the item in question, nor exposure of the same to sources of light, nor – on the premises of cultural institutes – with the use of a tripod or similar device. Users are required to carefully read the regulations governing the reproduction of library materials.

Copies made on site via the External Contractor: terms, conditions and opening hours

Requests may also be made directly on site via the relative sector for authorisation from the library in compliance with current legislation.

Requests from applicants wishing to make use of the services of the external contractor are accepted in compliance with the opening hours of the service, and up to 20 minutes before the service closes.


External requests for copies for study or publication purposes: how to apply

Copies for study purposes

Copies requested externally for study purposes by anyone preferring not to use their own equipment are made on site by the External Contractor in accordance with the prices published and subject to authorisation from the relative sector. Costs are charged to the person requesting the service. Users will be directed to the sector responsible for the material to be copied on the basis of the information provided in the dedicated area in Ask the librarian.

The reproduction of doctoral research theses is authorised exclusively in response to written requests accompanied by authorisation from the author together with a photocopy of the author’s identity document. Requests may not be submitted by telephone.

Reproductions for publishing purposes

In compliance with art. 108 of Italian Legislative Decree 42/2004 and copyright law:

  • reproductions may be freely made for non-profit publishing purposes, with prior communication to the library via email of the purposes of the publication in question.
  • publishing and commercial copies for profit must be made on site and with prior authorisation from the Directorate.

Users will be directed to the sector responsible for the material for which authorisation for publication is requested on the basis of the information provided in the dedicated area in Ask the librarian. Requests may not be submitted by telephone.

In the case of reproductions for study or publishing purposes, it is always necessary:

  • to cite the source and location of the work reproduced.
  • to provide the library with a copy of the publication in addition to the copy required for legal deposit.
  • publish the reference “with permission of the Italian Ministry of Culture / National Central Library. Florence” as well as express indications prohibiting further reproduction or duplication by any means.

How to request copies

Requests for reproductions for study or publishing purposes may be made:

  • via Ask the librarian.
  • by standard mail (to which the library will respond exclusively by email) accompanied by name, surname, full address and email address, all information regarding the material being requested and the purpose of the request, to: Biblioteca Nazionale Centrale di Firenze, Ufficio Informazioni Bibliografiche piazza Cavalleggeri 1, 50122 Firenze.

Costs for copies via the external contractor

After being authorised by the library, all requests for copies are sent to the external contractor responsible for the service. The contractor will contact the applicant with a quotation of service costs in accordance with the applicable price list.

The aforementioned quotation is not binding, and once payment has been made, the copies will be made, and the relative files will be sent.


Reproduction fees: costs and exemptions

The costs for reproduction rights for publishing purposes are established by the Regulations for the granting of use of spaces, for copying fees and for the educational services of the National Central Library of Florence (Section I, art. 5-8, p. 2-4).

Reproduction rights are granted for the publication for which they are requested. The publication of a new edition or reprint will be subject to further payment.

Alternatively, payments may be made via the PagoPaOnline portal operated by the Ministry of Culture, indicating as the purpose of payment (causale): DR Manoscritti (in the case of manuscripts) or DR Stampati (in the case of printed materials) followed, in either case, by the surname of the sender.

A receipt of payment must always be sent to the library to the addresses of the sectors responsible for the reproductions:
